Contract Administrator


· Client inquiry type and requirements

· Prepare draft quotes / tenders and submit for approval

· Send quote / tender to clients and follow up

· Update all records and results on quote register

· Generate job sheet numbers for all approved projects

· Communicate all approved projects through to the Contracting team

· Read through site rules, meeting programs and tender documents to ensure compliance

· Communicate all deadlines, site meeting dates and site rules through to the Contracting team

· Update all contracting schedules on the Network

· Invoicing forecast

· Invoicing schedule

· Invoicing projections

· Quote inquiry register

· Quote number register

· GP Schedule

· Work in progress schedule

· Guarantee & Warranty schedule

· Charts / Contract programs

· Sales forecast

· Liaise with clients and suppliers

· Liaise with assistants

· Draw up equipment lists, service contracts and guarantee periods

· Prepare handover documents for SRM

· Prepare operating and maintenance manuals for clients

· Prepare EFT Payments and get them signed off by a director

· Ensure that all time sheets are handed in on a daily basis

· Ensure that all time sheets are filled in correctly

· Ensure that all POD’s are handed in daily

· Ensure that all filing is kept up to date

· Archive old filing

· Prepare claim sheets and summary sheets for all projects

· Complete Invoicing

· Complete credit notes and get signed off by a director

· Monitor retentions, rebates, discounts and payment structures

· Follow up on debtors

· Dispatch costs monthly

· Book accommodation and prepare S&T allowance for staff sleeping out of town

· Attend all Contracting meetings and type out minutes

· Monitor costs and time worked on a project

· Analyse jobs, profitability, allocation of resources etc.

· Sales

· Any task or job function that is related to the role as a contracts administrator


· Attend to daily queries

· Oversee and maintain buckets

· Oversee and maintain costing queries

· Oversee and maintain debtor queries

· Other duties as required


· Diary management for the directors

· Planning and organizing meetings and events

· Minute taking

· Typing of documents

· Conducting research

· Organizing travel and preparing travel itineraries

· Act as the point of contact between the manager and internal/external clients

· Filing

· Handle requests and queries appropriately

· Other adhoc duties as requested

Package and Remuneration:
